What makes a good invoice number format?
A short prefix, the year, and a zero-padded counter. INV-2026-0042 sorts correctly, reads unambiguously, and survives being typed into a bank transfer reference.
Why pad with zeros?
So the numbers sort correctly as text. Without padding, invoice 10 files before invoice 9 in every folder listing and every spreadsheet sort.
Can I restart the counter each year?
That is what the year segment is for. Including it lets the counter reset without ever producing a duplicate across years.
Are gaps in the sequence a problem?
In several tax jurisdictions, yes. Auditors read a missing number as a deleted invoice, so cancel rather than delete and keep the sequence unbroken.
